Setting up your club for the first time
The order to do things in during your first week, so you are not entering the same people twice.
Club adminsReviewed 2 September 2026
Proletics is built around a simple hierarchy: your club contains sports, each sport contains groups (your squads), and athletes are enrolled into sports and assigned to groups. Sessions belong to a sport and usually to a group. Getting that skeleton in place before you import people saves a lot of re-work.
The order that works
- Accept the Data Processing Agreement. You will be prompted on first sign-in. Until it is accepted, the admin area stays locked — this is a legal requirement, not a setting you can skip.
- Create your sports. Start with the real disciplines you coach, not age groups. "Sprints" and "Throws" are sports; "U13 Sprints" is a group.
- Add your venues. If you train across a site with several spaces, add the site first, then add the spaces inside it.
- Create your groups. Give each one its recurring weekday and time, and its home venue. This is what makes the calendar fill itself in.
- Add your coaches, and assign each to the sports they coach. A coach only sees the sports they are assigned to.
- Import your athletes, then enrol them into sports and assign them to groups.
- Link parents and guardians to their athletes so families can see the portal.
Do sports and groups before people. Athletes can be imported in bulk, but their group assignment needs the group to exist first — otherwise you will be editing every athlete by hand afterwards.
What you can leave until later
- Your grading scheme and badges — worth doing properly rather than quickly.
- Fees and invoicing — you can run sessions and registers without any of it.
- Your public club page and branding.
