Handling a data request or erasure

Subject access requests, the right to erasure, and what happens to an athlete's history when you erase them.

You are the data controller for your club's members; Proletics is your processor. The tools to answer a request are in your settings — you do not need to contact us to action one.

Subject access request

Generate a full export of the personal data held about an account, by email address, from Settings → Data protection. It produces a structured file you can send to the requester.

Erasure

Erasure works differently for athletes and for user accounts, and it deliberately protects your financial records.

  • An athlete with invoices or attendance history is anonymised rather than removed, so your accounts and registers stay intact.
  • An athlete with no such history is removed outright.
  • A user account in more than one club loses only its membership of yours — other clubs are unaffected.
  • A user account in only your club is anonymised entirely.
Erasure cannot be undone. Take the subject access export first if the person has asked for their data as well as its deletion — you cannot produce it afterwards.

Retention

Settings → Retention lists former athletes inactive for three or more years, and closed accounts, so you can review them. Nothing is ever deleted automatically — the review is prompted, the decision is yours.
