Roles, and what each one can see

The six built-in roles, plus how to grant or revoke a single permission without changing someone's role.

Club adminsReviewed 2 September 2026

Access is decided by role, and roles are deliberately narrow. The most common support question is a coach saying they cannot see something — that is almost always working as intended.

RoleSees
Club adminEverything in the club, including settings and billing
StaffDay-to-day club operations, without club settings
CoachOnly the sports they are assigned to, and the athletes in them
ParentOnly their own linked children
AthleteOnly their own record
A coach seeing an empty dashboard usually has no sport assigned. Open their member record and assign the sports they coach.

Adjusting one permission

There are 17 granular permissions underneath those roles. You can grant or revoke any single one on an individual member without moving them to a different role — useful for the coach who also chases unpaid fees, or the volunteer you want to keep away from athlete records.

  1. Open Settings → Members and pick the person.
  2. Use the permission list to grant or revoke individual capabilities.
  3. The change takes effect immediately and is recorded in the audit log.

Custom roles

If you find yourself making the same adjustment repeatedly, define a custom role template in Settings → Roles and apply it to several members at once instead.
